Role Purpose
The HR Trainee will support accurate and timely administration of employee training records, both pre-employment and post-employment, across multiple HR and training systems. The role focuses on building system administration skills, supporting SAP processes, and ensuring compliance with data protection standards.
Key Responsibilities
Training Records Administration
- Monitor and resolve issues in training record accuracy and completeness.
- Capture and update training data in SAP and other platforms.
- Archive documentation according to compliance requirements.
SAP System Support
- Learn and apply SAP Qualifications and Training Catalogue functionalities.
- Analyse system data to identify gaps and recommend improvements.
Bridging Recruitment and Training Systems
- Implement and improve SOPs for data transfer between recruitment and training systems.
- Monitor data flow and troubleshoot inconsistencies.
Filing and Archiving
- Maintain structured filing systems.
- Ensure compliance with data management and protection standards.
Learning and Development
- Participate in structured learning sessions to build HR systems knowledge.
- Apply new skills to enhance operational efficiency and reduce waste.
Minimum Requirements
To be considered, applicants must meet the following requirements:
- Grade 12 / N3 / NQF 4 equivalent qualification.
- A Diploma or Degree in HR/Training.
Preferred Experience
- 1–2 years in administrative or data entry roles.
- Exposure to SAP or similar HR/training systems (advantageous).
- Experience in process monitoring and operational improvements.
Knowledge and Skills
- Understanding of training administration and HR data systems.
- Strong attention to detail and ability to diagnose data process issues.
- Analytical skills to interpret data and suggest improvements.
- Knowledge of SAP training catalogues and qualifications.
