Job Description
Mission:
- Controlling the day to day administration and financial needs for the various disciplines within Regional office. This includes co-ordination of Health and Safety, ISO9001 & ISO14000, general housekeeping and functions in the Region.
Responsibilities
Key Tasks:
• Raise opex and capex reqs – Regional opex/D2D Capex/projects e.g resilience-assist else-where when required
• Complete accruals on 28th each month and submit to HQ (all regional cc’s) and send updated tracker and journal template.
• Ensure regional budget tracker is updated at all times. Tracker maintained for all requisition raised by the regions for purpose of closing the loop from Procure to pay stages (opex/capex/resilience/other projects)
• Monitor budget spend and report shortfalls/queries. Liaise with HQ during qrtly forecast. Complete transfer requests when necessary
• Run relevant reports (fund check/open PO etc) for purpose of managing relevant follow up actions and checking for accuracy against reg tracker.
• Ensure correct actions have been applied eg PO requested to be closed is closed, use data to monitor health index of regional budget spend/encumb/balance in real time and report concerns
• Follow through with vendors on quotes/PO’s/PAC/invoicing
• Report on Capex spend to regional management-ensure we spend regional allocation according to requirement and priority.
• Close PO’s where work is completed (manage process for KZN)
• Manage travel requirements and obtain relevant approvals prior to travel (using Teams). Ensure as far as possible that staff abide by travel policy rules/submit motivation for out of policy travel
• Ensure regional fleet data is kept updated and that staff vehicle issues are dealt with in the region or report to HQ fleet for severe issues.
• Ensure staff are familiar and using on-line booking tools for pool vehicles.
• Ensure sufficient pool vehicles is kept by the region at all times
• Manage fuel spend and report discrepancies or concerns to SRNM
• Regional Governance – in place
• Technical Facilities – assist with ensuring reqs and PO’s issued timeously for SLA/Adhoc work.
• Discussions with supervisor regularly on state of buildings to ensure we budget for repairs in next period or request for funds through motivations for urgent repairs
• Contractual/PB compliance – Double check all costs against PB to ensure correct costing principle is applied by vendors
• Support vendors on administration issues e.g issues with uploading to iSupplier,follow through with finance on non-payment issues,ensure invoices uploaded on oracle are fully compliant with SARS documentation requirements and that invoices are uploaded to the correct PO issued.
• Invoices to be re-assigned for SRNM approval on or prior to system due date.•
Supervisory / Leadership / Managerial Tasks: Refers to the responsibilities for directing, guiding, motivating and influencing others.
– Practice and cost efficiency focus.
– Offer Guidance in developing new ideas and systems to improve contract service provided to MTN
– Sound and extensive knowledge on the labor law.
– Practice fair labor practices in accordance with the labor law and MTN policies and procedures.
Qualifications
Minimum qualification Education:
- Std 10 / Matric with a Secretarial/Admin Management qualification.
- Computer literate with a good knowledge of the MS Office package and spread sheets.
- Good knowledge of financial and stock control management.
- Excellent communication skills.
Experience:
- 5 – 6 years experience in an administration supervision/management field.
Training:
- Computer literate
- Ability to translate and understand certain financial reports issued by Head Office for the monitoring of budget expenditure.
