The Personal Assistant will provide a day to day operational and secretarial support function, acting as the first point of contact for the manager, both for people inside the organisation and for external stakeholders. The role covers personnel administration, office coordination, cost containment within budget, email and diary management, and general administration. The successful candidate will be accountable for making effective use of the manager’s time and schedule.
This specific position supports a Senior Vice President (SVP), and in this capacity the successful candidate will also assist with invoice and payment processes, sometimes extending support to the Executive Vice President for Commercial and Legal when required.
Key Responsibilities
The role is broad and covers the full spectrum of executive support work. Core duties include:
- Planning and coordinating meetings and managing daily operations
- Managing the manager’s diary and calendar, anticipating and resolving scheduling conflicts
- Coordinating critical meetings within required timelines and ensuring key stakeholders are available
- Booking meeting rooms, arranging visitor access, parking and catering
- Receiving visitors and telephone calls, taking messages and scheduling appointments
- Composing, typing and proofreading letters, agendas, memoranda, reports and meeting minutes
- Attending meetings to take minutes and notes
- Managing and planning projects independently, executing deliverables within set timelines
- Maintaining office records, reports and correspondence, both electronic and hard copy
- Reconciling and manipulating data from internal and external sources for management reports
- Arranging local and international travel, accommodation, passports, visas, international driving licences, car hire and foreign currency allowances
- Monitoring budgets and expenses and reporting on trends
- Ordering and controlling stationery, office supplies and equipment
- Maintaining effective relationships with internal and external stakeholders through clear written and verbal communication
- Supporting other Personal Assistants on systems and processes
Given the seniority of the role, the successful candidate will need strong judgement, discretion and the ability to adapt communication style for a wide range of audiences.
Minimum Requirements
To be considered for this role, candidates need:
- A completed National Senior Certificate (Grade 12 or Matric)
- A minimum of 3 years of relevant working experience
- Advanced proficiency in MS Office, including Outlook, Word, Excel, PowerPoint and Teams
- Working knowledge of relevant SAP transactions
- The ability to comply with prescribed document formatting guidelines and templates
